This document describes the steps involved in electronically filing tax slips through the Internet filing option.

Step 1 – Completing the DT FormMax Internet filing setup

To access the DT FormMax Internet filing setup, select Preferences from the Tools menu and click the option Electronic filing.

Under the Federal section, enter your federal transmitter number.

If you are filing more than one return, please use the transmitter number assigned to you by the Canada Revenue Agency (CRA). If you do not have a transmitter number and are filing more than one return, please call the CRA at 1-800-665-5164 to obtain one.

If you are filing one return and currently have an existing transmitter number, enter that number.

If you are filing only one return, and you do not have an existing transmitter number, please enter the generic transmitter number MM555555 to file this return. If you still wish to obtain a transmitter number, call the CRA at 1-800-665-5164 to obtain one.

For Quebec purposes, you should enter your Quebec transmitter number in the Quebec section.

To obtain a Quebec transmitter number, irrespective of whether you are filing one or multiple returns, you must complete and submit the Transmitter Registration Form (ED-430). When completing this form, you will be required to specify the quantity of slips you intend to file. The quantity generally corresponds to the number of beneficiaries or employees (keeping in mind any amended or cancelled slips which may also have to be completed).

Please note that in order to successfully transmit federal or Quebec slips, you must also enter the preparer contact information under the option Preparer.

Your federal and Quebec XML files will be saved at the location specified in the File Storage section within Preferences, under the Tools menu. If selected, the XML files can also be saved within a subfolder.

For federal and Quebec purposes, you are required to electronically file when submitting more than fifty information returns of one information return type.

Beginning in 2013, you will be liable to a federal penalty if you do not electronically file a return type which contains more than fifty information returns.

Note: Only one workstation must be designated for all Internet filing transmissions, to allow for the proper follow-up of any specific file.

Step 2 – Reviewing the eligibility requirements

When creating a new file, DT FormMax will automatically set the Filing type to E-filing.

A file will be considered ready for transmission only when no errors exist that would prevent the calculation or filing of any slips. Such errors can be displayed through the Diagnostics – Error and Warning messages icon. If there are no errors, then the Prepare slips for transmission icon which at first appears in grey will be highlighted in light blue.

If there are no errors, you may also prepare slips for transmission by clicking on Efile and selecting Prepare slips for filing on the toolbar. Please note that, as per above, this option will only be available when no errors exist that would prevent the calculation or filing of any slips.

Step 3 – Generating the XML file

When generating the XML file, you may select the federal and/or Quebec slip, as well as the type of slip you wish to file via the Internet, by clicking on the applicable boxes which appear on the left-hand side. Clicking on the Generate button, which appears on the bottom, will produce the applicable XML file. If errors which would prevent the generation of the applicable XML file are detected, then one or more diagnostic messages will be displayed underneath the column Errors. The diagnostic message will guide you on how to rectify the problem so that you may then successfully generate the XML file in question.

When no errors are detected, the applicable XML file will be generated with the date and time of creation appearing underneath the column File generated.

The XML file will be saved in the directory path specified underneath Working folder.

For federal purposes, the file name will refer to the slip itself (i. e. T4, T5, etc.) so as to differentiate one slip from the next. The term Original, Amend, or Cancel will also be included within the file name to differentiate the various slip types. The file name XXX_T4Original.XML, for example, would refer to an original T4 slip.

For Quebec purposes, the file will be saved in a further subfolder in order to facilitate the differentiation of one slip type from the next. This folder will then hold the original, amended, or cancelled slips in question. For Quebec purposes, the file name, as per Revenu Québec specifications, must consist of 11 (eleven) characters where:

Note: Once a slip type has been successfully transmitted, any additional slips of the same type must be saved and transmitted under a new file name. For example, a new file must be created if you already transmitted two original T4 slips and must now transmit a third T4 original slip. This new file would only contain the one additional slip, and it would be transmitted separately.

Step 4 – Transmitting the XML file

Once the XML file has been successfully built, you can transmit it by accessing the applicable Canada Revenue Agency or Revenu Québec web page. You must complete the required information, attach the file, and submit it.

The web pages are available through the options Efile and Transmit slips via Efile. Within the Efile transmission window, you may select the site you wish to transmit to by clicking on the appropriate tab (i. e. Federal or Quebec) and then on Transmit. The applicable web page will be called so that you may complete the remaining information, attach the file, and submit it.

Upon successful transmission of the file, a confirmation number will be generated. We ask that you print this page for record-keeping purposes and enter the confirmation number in its designated area.

For Quebec purposes, you must complete and submit the Transmitter Registration Form (ED-430).

Lastly, for Quebec purposes, please note that even though it was transmitted, you must still submit the slip summary in paper version, as the transmission of the RL-slip does not include the summary (RL-1, RL-11, RL-24 only).
