Printing
In order to print one or several forms from DT FormMax, you can select the Print... option from the File menu, or click on the Print icon in the toolbar.
The Printing window gives you three different ways to export your data:
Printing
DT FileCabinet
Printing
This tab lets you send forms to a printer. There are two options:
Printer - select the printer to use.
Number of copies - select the desired number of copies.
Note: These options are only available in Manual mode (see the Form selection section below for more information).
This tab is used to save forms to a PDF file. There are four options:
Folder - by default, this is set to the folder location that you have defined in the Preferences. You cannot change it here, but it can be changed after you click the Save as PDF button. Keep in mind that this change is only temporary. To permanently change it, go to the File Storage section of the Preferences found under the Tools menu.
Filename - you don't have to supply the ".pdf" extension. It will automatically be added to whatever name you supply.
Open file in PDF reader when created - once saved, the PDF will be opened using your default PDF viewer (e.g., Adobe Reader).
Protect the file with a password - this encrypts your file for security. You will need to supply a password.
DT FileCabinet
This tab is used to send forms to DT File Cabinet (if installed).
The DT FileCabinet Drawer ID is composed of a one letter prefix and the DT FileCabinet ID from the Client Identification form. The prefix is based on the client type of the file:
Client type Prefix Individual P Corporation C Partnership S Trust T The following items are necessary before the "Save to DT FileCabinet" button will become active:
DT FileCabinet ID - from the Client Identification form.
Fiscal Year End date - from the Client Identification form (for all client types except "Individual").
Form selection
This is common to all three printing methods.
There are two ways to select the forms:
Manually
Use the settings from the "Forms printing manager"
Manual
With this method, you select which forms to you want to print. The manual method is available when the Use the settings from the "Forms printing manager" box is unchecked.
Forms printing manager
With this method, the printer to use, number of copies, as well as several other printing options (e.g., watermarks, headers, etc.) are already pre-defined.
Note: Certain options only apply when you are on the Printer tab.
To use this method, check the Use the settings from the "Forms printing manager" box, and then use the drop-down list to select one of the available settings groups from the Forms printing manager.
The list of available forms will be based on your chosen settings group. See the Form printing manager page for more information on settings groups.
You can either print all of the forms you have designated for the chosen settings group by selecting the All forms filter option (see below for more information) and pressing the Select all button, or you can print a subset of the designated forms by manually choosing them as you would for the manual method.
Form selection filters
To help you select the forms that you want to print, you can apply one of four filters to help you narrow down the list of possible forms:
All forms - shows all forms (i.e., no filtering).
Navigator - shows only forms that have been ticked in the Navigator.
Client forms - shows all forms not associated with a recipient.
Recipient forms - shows only forms associated with a recipient, and lets you specify which recipients to include.
These filters can be used with either the Manual method or the Forms printing manager method. Keep in mind that the latter method will likely reduce the number of forms listed if you have not designated all of the forms groups for the current settings group for printing.
